Defect prevention: inspect while it is still cheap

Every defect that surfaces at acceptance was visible once before. The only question is whether anyone was looking at that moment — and whether they knew what to look for.

What does defect prevention mean in construction?

Defect prevention means signing off building elements against a fixed inspection plan instead of collecting defects at the end. For every recurring element it is settled what is inspected, when it is inspected and who signs it off — usually at the points where something is closed up, handed over or built upon. What separates this from administering defects is the timing: the inspection happens before the defect arises, or before it becomes inaccessible.

Legal framework: Germany (Civil Code BGB, construction contract rules VOB/B, fee schedule HOAI). Other countries have different rules, and contractual agreements take precedence over the standard periods named here.

From experience to an inspection plan

Every company holds the knowledge of where the trades regularly come unstuck — it sits in individual heads. An inspection plan turns that into something transferable: one list per element type, with the same questions at every element, in the same order.

  • By element type, not by tradeWhat is inspected is the flat entrance door, not "the drywall". Only then can the result be tied to an item.
  • Check points instead of proseAn inspection question can be answered with yes, no or a value. Anything else produces records nobody can evaluate.
  • A sketch and a description with itIf every check point states what the correct result looks like, even someone who has not trained in the trade can carry out the inspection.
  • Adapt templates instead of reinventingThe first inspection plan comes out of a template and the last twenty defects on the same element.

When inspection happens — the four moments

Inspection dates do not follow the calendar but the construction sequence. Four moments recur in almost every project.

The second moment is the most expensive one to miss — and the cheapest one to keep.

Who inspects — and what self-monitoring achieves

The contractor's own inspection and the checks carried out by site supervision are two different things and do not replace one another. The contractor owes work free of defects and inspects it themselves. Site supervision inspects on a sample basis, closely where trades are supervision-intensive — and documents that it has inspected.

  • Have self-monitoring documentedAn inspection record from the subcontractor is part of what they owe, not a favour.
  • A sample is not the same as at randomThe selection follows the risk: a new firm, a difficult detail, a fault that recurred from the last walkthrough.
  • QR code on the elementIf the checklist hangs on the element, it is filled in at the element — and not in the evening from memory.

Too many check points

A list of eighty questions gets ticked off, not worked through. Twenty good ones beat eighty complete ones.

No link to the element

Without a position the result cannot be allocated and is therefore worthless in a dispute.

Used only once in the project

An inspection plan nobody touches again after the mock-up is a declaration of intent.

A result with no consequence

A "no" has to trigger a live record, otherwise the inspection is busywork.

Paper in a folder

Printed records cannot be evaluated — neither for the rectification nor for the next construction section.

Better

A few hard check points at the element, with a direct route into the defect record.

Inspecting and documenting in one step

Frequently asked questions

Does an inspection plan replace acceptance?

No. Acceptance is a legal act with consequences of its own. The inspection plan makes sure that as little as possible is new at acceptance.

Who draws up the checklists?

As a rule the site management together with the experienced trade supervisors — from templates and from the defects of recent projects. Manufacturers' lists on their own rarely fit your own sequence.

How many check points make sense?

As few as possible, as many as necessary. What counts is that every point calls for a clear answer and that a negative answer triggers a live record.

Does the subcontractor have to fill in the checklist?

If it is contractually agreed, yes — self-monitoring is part of what they owe. Site supervision still inspects independently, because it carries a duty of its own.

What happens with a negative inspection result?

It becomes a defect with location, image, responsible party and deadline. An inspection result with no follow-up record is the most common reason inspection plans have quietly died.

Is this worth it on small projects too?

As soon as an element recurs, yes. The effort arises once, when the list is built; the benefit at every further inspection.
