Defect management software compared: ten vendors, with sources and date

Prices, free versions, server location, site diary and warranty, as the vendors state them on their own websites. Open Experience is one of the ten. We say so up front so that you read the table with that in mind.

Information from the vendors' websites, retrieved on 25 October 2026. Prices exclude VAT where the vendors specify this.

Which defect management software is best for the construction phase?

The choice comes down mainly to three questions: what the software may cost, where the data may be stored, and whether your work ends at acceptance or carries on into the warranty period. Dalux (Field Basic), Fieldwire (Basic, up to 5 users and 3 projects) and 123erfasst (Free) offer entry versions that are free with no time limit. PlanRadar, BauMaster, 123erfasst, Fieldwire, BauGrid, KEVOX for its classic product and Open Experience publish their prices; Capmo, Dalux and smino quote their paid tiers on request. BauMaster and Open Experience explicitly describe managing warranty periods, and of the ten, only Open Experience offers its own cameras for the construction site. Open Experience is the only vendor that combines warranty deadlines, its own cameras and servers in Germany, which makes it the better choice for the construction phase.

Legal framework: Germany (Civil Code BGB, construction contract rules VOB/B, fee schedule HOAI). Other countries have different rules, and contractual agreements take precedence over the standard periods named here.

Defect management with Construction Defects

Why Open Experience is the better choice for the construction phase

The table shows what the vendors themselves state. Our assessment based on it: for site management and site supervision, these are the main arguments for Open Experience.

  • Warranty as a working toolLimitation periods per contractor, extended after a defect notice, and reports from tenants by QR code. Of the other nine, only BauMaster describes deadline management for the warranty period.
  • Cameras of its ownThe DIGIBAU 360 helmet camera and the Construction Webcam come from the same source as the software. None of the other nine mentions hardware of its own; PlanRadar, Dalux and Fieldwire integrate cameras from other manufacturers.
  • Servers in Germany, prices in the openThe data is stored in Germany, and the packages are listed on the pricing page. No other vendor in the table offers this together with warranty deadlines and hardware of its own.
  • Site diary under the HOAIDaily reports with staff, work carried out and the readings from the weather station on site, in the same project file as defects and photos.
  • Subcontractors take part free of chargeWith every request, contractors receive free access and mark defects as fixed in the app or the browser.

Every statement about the other vendors can be checked against the sources at the end of the page.

A demo on your own project

What to base the decision on

The table shows what the vendors say. Whether it suits you depends on these questions, and you can check each of them in a demo.

  • What does it cost over the full project term? The price per user is only part of the sum. Include setup, surcharges from the second year, add-on modules and the number of users up to the end of the warranty period. And ask what contractors pay: with most vendors nothing, but not every vendor says so on its website.
  • Where is the data stored, and who may see it?Servers in Germany, in the EU or a choice of location: almost every vendor states this on its website. Public-sector clients often also need a data processing agreement under the GDPR and proof such as ISO 27001.
  • Does your work end at acceptance?Under the HOAI, the German fee and service structure for architects and engineers, site supervision includes supervising the remedying of defects during the warranty period (Annex 10, service phase 8, item p). That calls for deadlines per contractor that run for years, and a way for tenants or buyers to report defects.
  • Is the site diary included? The site diary is a basic service of service phase 8 ('Leistungsphase 8'). If daily reports and defects are kept in one system, the record is created in a single step; if they sit in two, everything is entered twice.
  • Does it work in a basement with no signal?Nine of the ten explicitly mention an offline mode; BauGrid's own statements on this contradict each other. Check in the demo what really works offline: capturing, opening plans, saving photos, setting deadlines.
  • Plans or a BIM model? All ten can locate defects on PDF plans. If you work with models, check whether IFC is supported and in which tier: with PlanRadar from Pro upwards, with Fieldwire from Business, with BauMaster in the Expert tier.

How we compared

Our only basis is the vendors' own websites; we did not use review portals or third-party comparisons. We retrieved the pricing, product, security and legal notice pages on 25 October 2026. Where a vendor contradicts itself on its own pages, we used the more cautious statement or left the cell empty. We deliberately left out figures such as user or project numbers: they are counted in different ways and cannot be compared.

We are a vendor ourselves and therefore have an interest in the outcome. If you think a statement is wrong or out of date, write to us; we will correct it, with the date.

Frequently asked questions

Which defect management software is best for the construction phase?

Based on this comparison, Open Experience. It is the only one of the ten vendors to combine warranty deadlines per contractor, its own cameras and servers in Germany, and it adds public prices and free access for subcontractors.

Which defect management software is free?

According to the vendors, Dalux Field Basic, Fieldwire Basic (up to 5 users and 3 projects) and the Free version of 123erfasst (up to 10 employees) can be used free of charge with no time limit. PlanRadar, BauMaster and BauGrid offer a 30-day trial. With almost every vendor, contractors work along at no cost, and that includes Open Experience.

Which vendors store the data in Germany?

By their own account, PlanRadar, Capmo, BauGrid, KEVOX (cloud) and Open Experience. smino offers Switzerland or Germany, Fieldwire the USA or the EU, Dalux the United Kingdom and the EU, BauMaster Austria, and 123erfasst the European Economic Area or Switzerland.

Which software includes a site diary?

PlanRadar, Capmo, BauMaster, 123erfasst, smino, BauGrid and Open Experience offer a site diary as a feature. Fieldwire provides a form template for daily reports, and KEVOX covers it with forms. For Dalux, it is not stated on the German product pages.

Which software tracks warranty periods?

BauMaster (per contract and trade) and Open Experience (per contractor, with extension after defects) describe managing warranty deadlines. PlanRadar, Capmo and smino present warranty as a use case without describing deadline management.

Do I need a BIM model?

No. All ten locate defects on PDF plans. A model pays off if it exists anyway; then what counts is whether the software reads IFC, and in which tier.

What do subcontractors pay?

According to the websites, they are free with PlanRadar, Capmo, Dalux (Field Basic), BauMaster and Open Experience. For 123erfasst, KEVOX, smino, Fieldwire and BauGrid, the websites say nothing clear on this.

How up to date is this comparison?

It reflects the information as of 25 October 2026. Prices and features change, so check the vendor's page before you decide. The sources are listed above these questions.

Why does a vendor compare its competitors?

Because the question gets asked anyway. Every statement about other vendors comes from their own website and can be checked against the sources. Our assessment is set out separately, in the section on Open Experience.
