What the digital signature covers

The Open Experience digital signature shows who signed a document, when they signed it and that the file has remained unchanged since. Your managing director or one of your administrators links the signer to a real person: the user profile holds the employee's email address and mobile number, and the system checks that both actually reach that employee. For every signature, the signer confirms with a second factor. After each signing step, a qualified trust service provider adds a timestamp under the eIDAS Regulation.

Legal framework: Germany (Civil Code BGB, construction contract rules VOB/B, fee schedule HOAI). Other countries have different rules, and contractual agreements take precedence over the standard periods named here.

Your company confirms the identity

Your managing director or an administrator in your company decides who may sign on your behalf. Open Experience does not inspect ID documents for this. We check that the contact details your company has assigned to a person really do reach that person.

• Assignment by the administratorThe administrator enters the employee's email address and mobile number in the user profile. In doing so, your company declares that these two channels belong to Ms Weber or Mr Yilmaz.
• Both channels verifiedThe email address is confirmed through the login, the mobile number through an SMS code. Only then can the person set up a signature profile.
• Five to seven signatures on a phoneDuring setup the person signs several times on the screen with a finger or stylus, in landscape mode and across the full width. Later the system places one of these signatures at the chosen spot in the document.
• Second factor for every signatureBefore signing, the system asks for an SMS code or a code from an authenticator app. An unattended laptop with an open session is therefore not enough to sign on a colleague's behalf.

What the signed PDF contains

• The signature in the right placeAs on a paper form, the person places the signature where it belongs and can add name, company and date. The time of signing appears above the signature, with the verification code, checksum and link to the verification page below it.
• Embedded evidence recordFor each step the PDF carries an evidence file. It records who signed, how the person confirmed, on which device and which version of the document they saw.
• Qualified timestamp after each stepThe timestamp comes from SK ID Solutions, a qualified trust service provider on the EU trusted list. A qualified timestamp carries the legal presumption that its date and time are accurate and that the data has not changed since.
• Any recipient can verifyThe QR code in the document leads to the verification page. There the file can be uploaded and compared with the register. The calculation runs in the browser, so the file itself is never transmitted.
